Job summary
The post-holder will provide administrative support in the delivery of an efficient and effective HR function. This will involve providing advice and support to staff and managers across the Trust on routine HR matters pertaining to the relevant HR Department.
Main responsibilities
The post holder will promote and support effective team working, fostering a culture of openness and transparency. The post holder will ensure that they take all concerns raised with them seriously and act in accordance with ‘Your right to raise a concern (Whistleblowing)’ policy and their professional code of conduct, where applicable.
- Provide administrative support to the designated team and the HR Manager.
- Provide routine advice and support to staff and managers across the Trust on HR matters relating to your designated HR team/section including the interpretation of policies and procedures, terms and conditions, industrial relations, equal opportunity matters and legislation.
- Support the HR Department by arranging a range of meetings including grievance and discipline hearings and appeals; interviews; attendance management; redeployment and organisational change and distributing the appropriate paperwork in a timely way.
- Ensure that appropriate information systems, both manual and computerised are accurately maintained and updated to effectively and efficiently support the HR functions.
- Minute formal meetings and ensure that relevant copies of all notes and correspondence are maintained within the relevant files.
- Deal with all routine correspondence and telephone enquiries and produce draft responses as appropriate.
- Ensure that formal Trust documentation relating to employment matters is prepared accurately and issued in a timely manner.
- Ensure that all files and records are maintained securely, accurately and confidentially at all times.
- Provide administrative assistance in preparing files for various panel meetings including grievance and discipline, interview panels and industrial tribunal or statutory body cases i.e. the Equality Commission or Ombudsman.
- Carry out a range of administration tasks associated with the various HR policies and procedures.
