Job summary
The post-holder will be responsible for the management and daily processing/recording of all information in respect of the Capital assets within the Trust, in line with the Trust’s Financial Procedures. They will also assist with financial governance work within the department and support the operation of the e-Proc & FPM helpdesk.
Main responsibilities
- Ensure that the Asset Register in respect of capital items is updated and maintained in a timely manner.
- Identification of additions, disposals, transfers, revaluations and realised profits, together with ensuring that all supporting documentation is appropriately maintained.
- Run indexation and capital charges on the asset computer system and provide same to CFA.
- Reconciliation of capital control accounts monthly. Ensure timely follow-up of queries with other finance staff involved in the postings and ensure reconciliations are completed within agreed monthly deadlines.
- Ensure that all capital purchases are captured monthly. Interrogate systems, run reports to investigate and ensure miscoded capital is captured and journalised to the correct accounting code.
- Preparation of all reports on the Capital accounting system in a timely manner.
- Monitor work in progress schemes.
- Preparation of spreadsheets regarding capital assets and schemes on a monthly basis to support other finance departments. Also upload journals to General Ledger as requested.
- Assist in production of reports.
- Assist in planning, implementing and monitoring regular physical verification of asset register in respect of capital assets. To perform this duty the post-holder will be required to have access to a vehicle and travel around the Trust geographic area by appointment.
- Ensure all capital assets of the WHSCT are physically tagged and details recorded accurately on asset computer system.
- Monitor Sale of Asset proceeds received monthly and ensure these are linked to the correct asset disposed on the Asset register.
- Assist in the process of identifying IFRS16 Leased asset repayments monthly, journaling in line with Capital Accounting processes and monitoring overall repayments against each Lease.
- Support the Financial Accounting Manager in ensuring that the Trust’s electronic procurement system, E-Procurement, procedures and processes are developed and implemented to deliver effective procurement processes within the Trust, including delivery of helpdesk function for the system. Provide support in relation to covering the e-PROC & FPM helpdesk as and when required.
- Provide support in relation to governance work undertaken in the department, including liaising with internal stakeholders as well as external providers who may hold contracts with the Trust.
- Ensure compliance to regular update of sound accounting standards, policies and procedures.
