Job Summary
The job holder will provide vital administrative and clerical support to the Waiting List Validation Unit, assisting in the accurate maintenance and organisation of patient waiting list data. The postholder will help prepare patient correspondence, update records, and ensure that validation processes are carried out efficiently and in line with Trust protocols.
Main Duties & Responsibilities
- Provide administrative clerical support to the Waiting List Management Unit.
- Maintenance of general filing systems as appropriate.
- Liaise with Trust staff, other departments and patients/clients regarding Waiting List Management Unit functions.
- Recording and distribution of incoming mail/post and dealing with routine correspondence.
- Arrange outgoing mail and distribution to relevant stakeholders.
- Prioritise and organise work effectively within a team environment.
- Answer telephone calls and respond to patient queries appropriately.
- Record notes and minutes of meetings when required.
- Order stationary and ensure adequate office supplies are maintained at all times.
- Perform all general administrative tasks as appropriate.
- Assist with the production of reports including memos, letters and emails.
- Undertake general ad hoc administrative duties including photocopying, scanning and fax to support the needs of the service as and when required.
- Provide cover to other Patient Access functions as and when required.
